Fast-paced environment - Ability to manage multiple tasks within single project(s) or multi-project high volume remodel programs. Basic construction knowledge required. Opportunity to learn and work within multiple divisions of the company - Construction, Program Management, Accounting, Survey and Architectural. Essential Duties and Responsibilities BIDDING * Create Projects in OPM. * Prepare Construction documents and supporting project documentation for bid solication. * Prepare / Release Subcontractor 'Invitations to Bid'. * Source, contact, phone, email qualified subcontractor's to bid project(s) * Communicate regularly & effectively with construction project team regarding subcontractor bid coverage. * Orchestrate bid walks to gain subcontractor attendance and project interest, as required. PRE-CONSTRUCTION * Contact Mall /Landlord Contact for Rules/Regulations & required subcontractors, as needed (Not received during bid phase) * Release mall deposits (refundable / non-refundable) /check requests and additional documentation required for project start. * Waste Management - City required deposit and coordination. * Schedule site walks, surveys, and required activities prior to project mobilization, as directed. * Research permit availability/tracking and prepare,submit and/or record documentation for local municipality officers, as required. * Review, document and understand client contract terms. Manage to those terms and ensure adherence to mitigate Menemsha's Liability, (ie: Insurance, billing terms, bonds, weekly deliverables from team) CONSTRUCTION * Secure Client, Landlord, Municipality Insurance certificates for project start upon Award. * Document Control- Monitor plan revisions, distribute to field, subcontractors, project team-as directed by PM. * Monitor Field Supervision administrative requirements, ensure daily field records, expenses, and safety documentation are complete and adhere to menemsha standards. * Support field supervision with temp labor, utility and equipment (dumpsters, lifts, porta potty, etc..)needs, as required and/or directed within the project team * Provide day to day support for field superintendents and Menemsha trade labor resources, as required to support PM * Secure/Release PO's for Material, Finish purchases, as negotiated and directed by PM * Track timeliness of responses for RFI's, change orders, submittals etc.. To support project/program schedule. * Coordinate timely closeout of project. Track punch list items thru completion. Work with subcontractors, field supervisor for scheduling, as directed/needed * Support project team with receiving & processing project submittals for PM Review, as required. * Track OFI Items and coordination, manage to scheduling for shipping /delivery. * Support preparation of project/program specific reporting, as required by contract/client/internal. (Ie: Weekly client reports, project schedule updates, program master schedule updates.) , as directed. * Maintain/Update Program Master Schedule to track milestones, as required. Maintain Master Schedule and completed tasks throughout program roll-out, as directed. FINANCIAL * Provide support to Accounting for subcontractor Lien Waiver collection, as needed. * Respond to subcontractor, vendor payment inquiries, as needed. * Support project management team in preparing for monthly WIP Meetings, ( Pre-WIP Worksheet), as directed. Attend WIP Meetings. * Monitor General Condition Costs, manage to general conditions budget vs. actual spend. Track trends. Communicate to PM team to determine best practice to mitigate overspending and maintain budgeted general conditions. * Understand Budgeted Labor hours for Menemsha trades/Labor. Hourly Labor, and track adherence to budgeted vs. actual. Communicate trend to Project Manager, as needed. * Review hours /approval of time cards for Field Hourly Labor (Daily/Weekly) * Progress Payments, manage with PM monthly % complete. Secure Conditional Waivers required for progress billings * Prepare Client Billings, according to client billing requirements. * Process Prelim or Lien Releases, as required. * Responsible for client A/R calls, as directed. * Respond to subcontractor, vendor payment inquiries, as needed. * Process Certified Payroll Packet according to Project with Project DIR no. * Notify Public Works of awarded project * Notify Apprentice Committee of project awarded if Menemsha Journeymen/Labor is need onsite * Keep records of current General Prevailing wages * Provide subs with a Project Billing Schedule based on client and project needs * Review subs billings with Certified Payroll when applicable * Coordinate Subs Certified Payroll with OPM daily log with labor provided * Review Certified payroll with labor provided for change order work Time and Material Tickets required * Record Subs Certified Payroll Report on OPM for each progress billings * Communicate with subs when Certified Payroll Report needs to be corrected/updated * Communicate with Project Manager/Assistant PM on subs Monthly Progress Billings * Communicate with internal team which subs provided invoices, waiver and Certified Payroll Report for Monthly Progress Billings ADMINISTRATIVE * Maintain project/program team meeting notes. * Hold/Facilitate program /project meetings as needed. Maintain meeting notes and team deliverables * Support field labor resources with administrative project/program requirements. Provide client specific / project training and direction as needed. * Train new members of the project management team on systems and procedures, as needed. * CLOSEOUT: Retrieve, research, prepare client required documentation for project closeout, billings, as required. (IE: Warranty Manuals, AsBuilts, CofO, Building Cards, LEEDS documentation, lien waivers, I=C, Confirm all RFCs and sub change orders are resolved, etc..) * OPM, Monitor and Enter Internal Budgets into Timberline * OPM Project Setup, as required (large program rollouts) * OPM Track Closeouts, closeouts tracking form * Hold/Facilitate program /project meetings as needed. Maintain meeting notes and team deliverables * OPM Release check requests * OPM Job No. Requests / Additional Division Requests * OPM, Management - project start, turn, and project status. * T/L updates - project start, turn * OPM Sales Pipeline Updates (Bidding thru AWARD, CANCELLED) ; as required * OPM Sales Pipeline Updates (Executed, Contracts posted) ; as required * OPM, Monitor and Enter Sub Approved Change Orders into Timberline * OPM, Monitor and Enter Pending and Approved RFC's into Timberline * Project Manager, assignments and support as requested * Weekly Closeout Report for Accounting - Billing status, closeout status * Train new members of the project management team on systems and procedures, as needed. * Train new members of the field superintendent team on systems and procedures, as needed. Knowledge, Skills & Abilities * Strong client service orientation, willingness to learn, strong work ethic and diligent. * Perseverance and creativity in getting the job done, self-motivated, excellent analytical skills. * Excellent verbal and written communication skills. * Strong ability to manage, direct and motivate others. * A do whatever it takes attitude. * Basic Construction knowledge. * Strong Microsoft Outlook, Excel, and Word. Microsoft Project, a plus. * Strong organizational skills, Ability to prioritize. Education & Experience Higher education and/or certifications related to Construction Management preferred. Two (2) years work/construction field experience preferred. Solid knowledge of construction processes and procedures. Timberline knowledge a plus. Training Requirements Leadership skills, Construction Operations, Time Management, Negotiation skills and scheduling. Timberline Work Environment Fast-paced office environment. Ability to travel, as required.
