Under the direction of the Director of Administrative Operations, is responsible for coordination and daily operations of the support service areas including team coordinators, receptionist, scheduling and data processing,.

ESSENTIAL FUNCTIONS

1 - Coordinates, supervises, and monitors the activities of the administrative staff

a - Prioritizes and assigns tasks

b - Manages staff performance and implements appropriate action for improvement

c - Ensures that work processes are consistently followed

d - Recommends improvements in work methods to ensure efficiency and quality

e - Resolves problems and responds to issues with courtesy, tact and timeliness

f - Orients and trains staff to their responsibilities

2 - Ensures areas of responsibility operate within organizational process, policy, and security

a - Collaborates with managers and staff to offer suggestions to improve efficiencies

b - Ensures that staff are informed of policies and procedures

c - Assesses and monitors competence of staff with current and new processes

d - Has thorough understanding of all workflows and processes for areas of responsibility

3 - Responsible for operational excellence

a - Manages all activities so that quality services are provided in an efficient and effective manner

b - Services provided meet all applicable regulatory requirements

c - Maintains productivity measurements and reports as scheduled

d - Directs activities in a manner consistent with organization wide programs, procedures, and overall mission

e - Identifies areas for and develops performance improvement plans

f - Establishes standardized work practices in collaboration with staff and managers

4 - Oversees and manages employee schedules to meet the needs of the organization

a - Authorizes time off for employees taking into consideration the impact on the other departments

b - Ensures there is adequate coverage to meet essential functions

c - Monitors and reassesses staffing and hours of operation to meet needs of the organization

d - Maintains effective and appropriate staffing by monitoring turnover, overtime, and absenteeism

5 - Manages staff performance to assure quality services and promotes positive employee relations

a - Consistently and fairly implements human resource policies

b - Employee appraisals are completed thoroughly and submitted on time

c - Develops performance goals/objectives with each staff member to promote maximum productivity, proficiency, and professional growth as evidenced by written goals on performance appraisals

d - Collaborates with human resources on the recruitment and selection of qualified employment candidates, following all policies guidelines, and applicable laws

e - Manages staff performance utilizing coaching, counseling, and corrective action in accordance with human resource policies

f - Is recognized as a positive role model.

6 - Responsible for management and utilization of organizations' financial resources

7 - Develops effective working relationships between administrative and clinical areas

a - Collaborates with managers on resolution of issues and work practices

b - Represents staff at meetings and task forces

c - Timely communicates and establishes comprehension of information, instructions, and updates to staff

d - Communication with staff is effective, resolving conflicts which may hamper relations and productivity

e - Meets regularly with staff

8 - Embraces technological solutions to work processes and practices

a - Demonstrates proficiency and competency in the agency/program assigned software modules as evidenced by appropriate daily utilization of software

b - Utilizes and educates staff to information systems and telecommunication services as assigned including email, voicemail, and paging

9 - Understands, displays, and promotes effective customer service standards

a - Orients and trains staff to customer services skills

b - Identifies opportunities for improvements and collaborates with staff to consistently improve performance

Technology and Learning

a - Participates in continued learning and possess a willingness and ability to learn and utilize new technology and procedures that continue to develop in their role and throughout the organization.

b - Embraces technological advances that allow us to communicate information effectively and efficiently based on role.

JOB REQUIREMENTS

Minimum Education - Preferred

Bachelor's degree in business related field.

Minimum Work Experience

2-5 years managerial experience in a related field preferred.

Required additional Knowledge and Abilities

Business experience with knowledge of general clerical and customer service skills, proficient with Microsoft office products, excellent verbal and written communication skills, and knowledge of home care practice preferred

Monday- Friday 7:30am-4pm with off shift duties and on call rotation
